Pipeline Travel & Expense Overview

Pipeline Entrepreneurs is a non-profit (501(c)(3)) organization. As such, there are limitations on which expenses we are able to cover during your Fellowship or Pathfinder year. Because Pipeline operates across three regions—Kansas, Missouri, and Nebraska—travel is a required part of the program.  Our goal is to be transparent about what expenses Pipeline covers, what is not covered, and how reimbursement works.

Expense Reimbursement Process

If you incur an approved, covered expense, please submit:

  • A list of expenses

  • Digital copies of receipts

Send all reimbursement requests to accounting@pipelineentrepreneurs.com
no later than two weeks after a Module or Event. Expenses will be reviewed and, if approved, reimbursed.

What Pipeline Covers

 

Generally Covered

  • Lodging during Modules

  • Meals provided during Modules

  • Hotel self-parking during Modules

 

Not Covered

  • Hotel incidentals (room service, minibar, etc.)

  • Valet parking

  • Meals not organized or provided by Pipeline

  • Mileage or gas for driving to and from Modules

Lodging

Orientation

  • Lodging is booked and paid for by Pipeline for out-of-town Fellows and Pathfinders only (defined as those outside the Kansas City metro area).

 

Modules

  • Lodging is booked and paid for by Pipeline for all Fellows and Pathfinders.

 

Innovators Pitch Showcase & Gala

  • Lodging is booked and paid for by Pipeline for out-of-town Fellows and Pathfinders only (defined as those outside the Kansas City metro area).

  • Discounted hotel rates may be available for in-town Fellows and Pathfinders; booking is the individual’s responsibility.

Transportation

  • Fellows and Pathfinders typically drive their own vehicles to Modules. Mileage and gas are not reimbursed.

  • Carpooling is strongly encouraged throughout the Module.

  • If carpooling is not possible, Uber or similar rideshare expenses may be reimbursed on a case-by-case basis.

  • Hotel self-parking is covered by Pipeline; valet parking is not.

  • Airfare is covered only if:

    • The Fellow or Pathfinder would otherwise need to drive more than four hours, and

    • Travel is within the Pipeline region (Kansas, Missouri, or Nebraska).

    • Example: A Fellow flying from Omaha to St. Louis for a Module.

Meals

  • Pipeline typically covers meals during Module programming, including breakfast and lunch, as well as organized evening meals.

  • One evening per Module usually includes a networking event with food, open to Members, Fellows, and Pathfinders.

  • Each Module typically includes one Fellow-organized dinner and one Pathfinder-organized dinner.  Details—including assigned organizers, dates, and budgets—will be communicated in advance.

  • Some evenings may not include an organized meal; in those cases, dinner is on your own and at your own expense. This will be clearly noted in the Module schedule.

 

Incidentals

  • Incidentals are not covered by Pipeline.
